Terms and Conditions

The below states all terms and conditions of a booking with Vima Santorini (VIMA) and subsequent stay at one of our villas (PROPERTY) and the rights and obligations of the person booking (GUEST).

1. Arrival / Departure times

Typical check-out and check-in times are 11:00 (11 AM) and 15:00 (3PM) respectively unless stated otherwise. VIMA will get in touch with the GUEST to try to accommodate the actual arrival and departure times, subject to availability. Please do advise VIMA of any changes to the guests schedule so every effort can be made.

2. Security Deposit

A security deposit is required to be paid directly to VIMA immediately upon arrival at the PROPERTY. The standard security deposit required is 250.00 EUR. Access to the PROPERTY may be refused if security deposit is not paid in full. The security deposit will normally be refunded at the end of the rental period, after deducting: the cost of replacement or repair for any loss or damage to the PROPERTY or its surrounds or contents caused during the rental period. If this cost cannot be reasonably determined prior to the GUEST’s departure, VIMA is entitled to withhold a reasonable estimate from the GUEST’s security deposit, and will return any balance to the GUEST as soon as possible after the actual cost has been determined.

3. Damage or Losses

The PROPERTY is a private home. Please treat the PROPERTY rented accordingly, and leave the PROPERTY and all its contents in good order and in an acceptably clean condition. Any damage or losses caused during the rental period, as well as any special cleaning requirements will be the GUEST’s responsibility and may be charged to the GUEST’s account and deducted from the GUEST’s security deposit. In cases of excessive or unacceptable loss or damage at any time during the rental period, VIMA may require the GUEST and their party, including visitors to vacate the property immediately, without compensation or refund.

4. Access

The PROPERTY and its facilities are available for the GUEST’s full enjoyment during the rental period. However VIMA staff may need access to the PROPERTY from time to time (e.g. for maintenance purposes to the house, jacuzzi, utilities and services, or for the purposes of providing assistance requested by the GUEST, etc.). The GUEST is required to give reasonable access to the PROPERTY for these purposes.

5. Number of Guests

The number of persons (adults and children) staying at the PROPERTY must not exceed 4 individuals, unless specifically authorised in writing. The number of persons staying at the house may not exceed the number of individuals submitted in the booking process, unless specifically authorised in writing. The standard pricing for the PROPERTY is valid for two GUESTS. Additional GUESTS may be added during the booking process or authorised in writing after the booking, however in both cases a 15 EUR/night fee applies for each additional GUEST. Entry or access to the PROPERTY may be refused or limited where the number of guests exceeds the stated number. No pets are allowed unless agreed in writing in advance.

6. Use of property

All bookings are assumed to be for normal holiday purposes only, and the guest agrees that the use of the PROPERTY will be limited to this purpose unless otherwise confirmed in writing. If the GUEST is planning to hold an event, such as a wedding or party, which involves having a larger number of people at the property, or if the GUEST is planning to use the PROPERTY for a purpose other than holiday, please communicate this to VIMA at the time of booking, as special approval or arrangements may be required. Depending on the nature of the event, a surcharge and/or additional security deposit may be required, which will be agreed and confirmed in writing prior to confirming the reservation.

7. Conduct and Due Care

The PROPERTY is located in a quiet residential neighbourhood. The GUEST is asked to respect this, and ensure that all guests and visitors to the property behave appropriately. Illegal or immoral activities are all strictly prohibited. Smoking is strictly prohibited within the house. The GUEST is responsible for the behaviour of the guests staying at the PROPERTY, as well as visitors to the PROPERTY during the rental period. Should any GUEST(s) or visitor(s) not behave in a suitable manner, VIMA may, in their absolute discretion, require the GUEST, their party and/or visitor(s) to leave the premises and/or vacate the PROPERTY immediately, without compensation or refund. In the interests of safety, due care should be taken at the PROPERTY at all times, especially with children. Suitable supervision should be given around the jacuzzi, stairs and the terraces of the house and when using all PROPERTY’s facilities.

8. Valuables and Security

Any guest valuables or property left or used at the PROPERTY are at the GUEST’s own risk. VIMA does not accept any responsibility for loss of or damage to guest property. The GUEST is responsible for the PROPERTY during the rental period, and must ensure that all windows and doors are locked securely when not on the premises. Any act or omission by the GUEST, their party and/or visitors which may negate or prejudice the PROPERTY’s insurance policy and/or results in loss or damage is the GUEST’s responsibility.

9. Cancellation

Shall the GUEST decide to cancel the booking with VIMA the following rules apply with no exception. Cancellations up to 7 days before GUEST’s arrival will be charged with 50% of the total price. Cancellations less or exactly 7 days away from GUEST's arrival or in case of 'No-Show' - meaning that the GUEST does not arrive at the PROPERTY on check-in - the whole booking amount will be charged.

10. PAYMENT

Upon booking the GUEST can choose to pay the full amount (100%) of the reservation value or half the amount (50%) for their stay at the PROPERTY. When 50% is choosen, the first 50% of the reservation value is charged directly from their credit/debit card and the remaining 50% will be charged 30 days before the arrival date using the same credit/debit card as for the first 50%. If the remaining 50% can not be charged succesfully 7 days before the arrival date, the reservation is cancelled according to the cancellation policy in 9. with no exception. All payment transactions are handled by Stripe Inc. on behalf of VIMA.

11. COVID 19

GUESTS are obliged to fulfil all requirements and follow all rules and regulations imposed by the Greek authorities upon arrival to the country as it is documented on https://travel.gov.gr/ or in the respective government publications. Article 9 of this document will be in effect if the failure to comply with these rules results in the cancellation of any stay at the PROPERTY.

If any official travel restrictions (by embassies or foreign ministries) are issued before travelling and up to the day of arrival at the PROPERTY, the GUESTS booking will not be cancelled based on Article 9 of this document, but instead converted into a voucher for a future stay within the next 18 months, starting from the day of this extraordinary cancellation. The voucher value is depending on the funds that have been transferred from the GUEST to VIMA until the time of the extraordinary cancellation. If a deposit has been paid, the voucher value is the value of the deposit. If the full amount has been paid, the voucher value is the full booking amount. 

If any official travel restrictions (by embassies or foreign ministries) are issued while the GUESTS are residing at the PROPERTY, resulting in an immediate repatriation and therefore an unexpected early check out, no refund can be issued. 

VIMA can not take any liability in any form if COVID19 is contracted during the GUESTS stay at the PROPERTY and/or during their stay on the island. If a GUEST is tested positive, VIMA and the local authorities have to be informed and all measures and instructions imposed by the Greek Government or any of its bodies (Civil Protection Agency) need to be followed and any misdoing or non-compliance will be strictly reported to the authorities. If any of the GUEST need to be quarantined, the duration of the quarantine on the PROPERTY can not exceed the original check-out date.
